📚 Using AI Chat in Shred.ai - Prompt Library Guide

This guide serves as your comprehensive Prompt Library for using the AI Chat feature within Shred.ai.

Before you start prompting, make sure you understand which chat mode you’re using. Each mode pulls from a different knowledge source and will produce different results.

💬 1. Know Your Chat Mode

Proposal Library (only)

  • Knowledge source: Your proposal library

  • Best for: Surfacing past language and approaches

  • Use this when you want to:

    • See how you’ve approached similar work before

    • Pull excerpts from past proposals

    • Identify frequently referenced projects

Proposal Library + Pursuit

  • Knowledge source: Your proposal library + the active RFP

  • Best for: Drafting and aligning to a specific pursuit

  • Use this when you want to:

    • Analyze RFP requirements

    • Align past content to evaluation criteria

    • Draft narratives tailored to this pursuit

Note: This option only appears when you are inside a specific pursuit.

OpenAsset (only)

  • Knowledge source: Your OpenAsset DAM system

  • Best for: Identifying projects, people, and experience

  • Use this when you want to:

    • Find up-to-date project and people info (ex: project costs, employee certifications)

    • Identify team members with specific experience

    • Draft team-based narratives

  • **Tips**

    • 1-2 filters typically works best (ex: "How many total square feet of projects on the US East Coast have we done for higher education clients?")

    • Use explicit timeframes (ex: "2024" vs. "recently")

Understand the RFP

(Best Chat Mode: Proposal Library + Pursuit)

  • What are the minimum requirements for this pursuit? Minimum requirements are non-negotiable conditions.

  • What are three technical components of this RFP that we should focus on in our proposal response? Why?

  • What is the project delivery method for this pursuit? (Design-Build, Design-Bid-Build, CMAR, IPD, etc.)

  • What forms are required to be submitted with my proposal? Provide a detailed list of all forms.

  • Is there any supporting documentation that should be included in the response to this RFP?

Draft & Improve Narrative Content

(Best Chat Mode: Proposal Library + Pursuit)

  • Which of my firm's past projects are most similar to the scope of work for this pursuit? Why?

  • Based on our past proposals, how have we addressed these considerations in our past work?

  • Based on past proposals, provide three verbatim paragraphs that address each of the above technical considerations in a way that's relevant to this pursuit.

  • Draft a proposal cover letter for the project.

  • Give me a 200-word narrative that describes [our firm's] project experience with [client], covering (x, y, z).

  • Below is a technical narrative I've written. How well does it address the response criteria of this RFP? What are the strengths and weaknesses?

  • Redraft the narrative, keeping the tone and language consistent with our past work, but updating to include content that addresses the critical weaknesses.

Find Past Projects & Approaches

  • Based on my proposal library, show me how we approach [X].

  • How did we describe our contributions to the [Name of Project] with [focus area/approach]?

Identify Projects, People & Data

(Best Chat Mode: OpenAsset)

  • Which team members are best suited for X project types?

    1. Example: Which project managers with healthcare experience are best suited for a 50,000 sq ft hospital renovation in the Pacific Northwest?

  • Which projects have [Employee Name] worked on together?

  • What was the final construction cost of [Name of Project]?

  • Which projects match X criteria? (paste suggested projects from the Recommendations tab)

  • Draft a narrative including X employees based on X project type.
