Uploading & Reviewing Addenda

Overview

Procurement teams often issue addenda after an RFP is published — adding requirements, changing deadlines, or responding to pre-bid questions. Missing a change can mean submitting against outdated information.

With Addendum Support in Shred.ai, you can upload addenda directly to an existing Pursuit and get an AI-generated summary of exactly what changed. Each summary is editable, reviewable, and cumulative — so your team always has the full picture in one place.


Before You Begin

Addendum Support is available on any Pursuit that already has a shredded RFP. If you haven't uploaded and shredded your RFP yet, start with Starting a New Pursuit & Uploading an RFP.


Step 1: Upload the Addendum

  1. Open the relevant Pursuit.

  2. Click Upload Addendum.

  3. Drop in the addendum file.

Shred.ai will begin processing immediately, comparing the addendum against your current Proposal Management Plan (PMP).


Step 2: Review the Addendum AI Summary

Once processing is complete, Shred.ai generates an Addendum AI Summary. This appears within the Pursuit and includes:

  • PMP field changes — specific fields in your Proposal Management Plan that have been updated (e.g., revised submission deadline, changed scope items, updated formatting requirements)

  • Other major changes — significant additions, removals, or clarifications identified in the addendum

  • Narrative summary — a plain-language overview of what changed and what it means for your response

Review the summary carefully. If the addendum includes conflicting information — such as two different due dates — Shred.ai will flag it so nothing slips through.

Note: Treat AI summaries as a strong starting point, not a final word. Always review the original addendum file alongside the summary.


Step 3: Edit the Summary (Optional)

You can edit the Addendum AI Summary directly to:

  • Add context your team needs to know

  • Correct any inaccuracies

  • Note decisions made in response to the changes

Edits are saved automatically.


Step 4: Mark as Reviewed

When your team is satisfied with the summary, click Mark as Reviewed.

Shred.ai will record:

  • Who marked it as reviewed

  • The date and time of review

This gives your team a clear audit trail — especially useful on high-stakes pursuits or when multiple team members are involved.


When a Second (or Third) Addendum Arrives

Repeat the same process. When you upload a subsequent addendum, Shred.ai compares it against both your current PMP and the most recent addendum summary — so the new summary reflects all cumulative changes to date.

You don't need to manually track what changed in each previous addendum. The latest summary always has the full picture.


Limits & Access

  • You can upload up to 10 addenda per Pursuit, one at a time.

  • Both the original addendum file and its AI summary remain accessible at any time from the Pursuit.

  • All users with access to a Pursuit can view addendum summaries. Marking as Reviewed follows your team's standard role permissions.
